Please read these terms carefully before booking with Nova Lux.

1. Introduction

These Terms & Conditions ("Terms") govern the provision of chauffeur, minibus and coach hire services by Nova Lux Ltd ("Nova Lux", "we", "us", "our") to any individual or organisation that books a vehicle through our website, by telephone, by email or via WhatsApp ("you", "your", "the Client"). By making a booking with Nova Lux, you agree to be bound by these Terms.

2. Bookings & Quotations

All quotations provided by Nova Lux are valid for 14 days from the date of issue unless otherwise stated. A booking is only confirmed once Nova Lux has issued written confirmation (by email or via our booking system) and, where applicable, any required deposit or payment has been received. Quoted prices are all-inclusive of the vehicle, chauffeur, fuel, congestion charge, ULEZ charge, standard parking and standard waiting time, unless otherwise specified in your quote.

3. Payment & Instalment Schedule

Payment terms depend on the type and value of booking:

  • Standard transfers and day hire — full payment is due at the time of booking confirmation, unless an account arrangement has been agreed in advance.
  • Wedding, event and multi-vehicle bookings — a non-refundable deposit of 25% of the total booking value is due at the time of booking to secure your date and vehicles. The remaining balance is due no later than 14 days before the date of travel.
  • Coach hire for groups, schools and corporate clients — for bookings made more than 60 days in advance, payment may be split into instalments: 25% on booking, 25% at 50% of the time remaining before travel, and the final 50% no later than 14 days before travel. Bespoke instalment schedules can be agreed in writing for larger contracts.
  • Corporate account clients — invoiced bookings are payable within the agreed credit terms (typically 14 or 30 days from invoice date), subject to a signed account agreement.

We accept payment by major debit and credit cards, bank transfer, and approved corporate account invoicing. Failure to make payment in accordance with the agreed schedule may result in cancellation of the booking.

4. Cancellations & Amendments

Cancellation terms vary by vehicle type and booking size:

  • Chauffeur car bookings cancelled more than 24 hours before the journey: full refund.
  • Chauffeur car bookings cancelled within 24 hours: charged in full.
  • Minibus and coach bookings cancelled more than 14 days before travel: deposit retained, balance refunded.
  • Minibus and coach bookings cancelled within 14 days of travel: charged in full.

Amendments to bookings (date, time, route, vehicle size) are subject to availability and may incur a price adjustment. We will always try to accommodate reasonable changes wherever possible.

5. Waiting Time & Delays

Standard waiting time is included as specified in your quotation (typically 30–60 minutes for airport pickups, accounting for flight delays and immigration/baggage processes). Waiting time beyond the included allowance is charged at our standard hourly rate, communicated at the time of booking. Nova Lux is not liable for delays caused by traffic, weather, road closures or other circumstances beyond our reasonable control, though we will always act to minimise disruption to your journey.

6. Passenger Conduct

Passengers are expected to behave respectfully towards chauffeurs, drivers and vehicles. Nova Lux reserves the right to terminate a journey without refund where a passenger's behaviour poses a risk to the safety of the chauffeur, other passengers, or the vehicle, including (but not limited to) violence, harassment, smoking in the vehicle, or causing damage. Any costs of cleaning or repairing a vehicle as a result of passenger conduct will be charged to the Client.

7. Luggage & Belongings

We will always try to accommodate the luggage indicated at the time of booking. Please ensure luggage requirements are communicated accurately, as vehicles may be substituted if luggage exceeds the capacity of the booked vehicle. Nova Lux is not responsible for items left in vehicles, though we will make reasonable efforts to return any property found.

8. Liability & Insurance

All Nova Lux vehicles operate under comprehensive private hire insurance, including passenger liability cover. Nova Lux's liability for any claim arising from a booking is limited to the value of that booking, except where liability cannot be limited or excluded by law (including death or personal injury caused by negligence).

9. Governing Law

These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
